Sharing Documents - The "S:\ Drive"
Instead of emailing different versions of the same document back and forth, consider using a Shared Network Folder. Currently, the following locations within the University Of Wisconsin Department Of Family Medicine Network have access to a Shared Network Folder: Alumni Hall, Augusta, Eau Claire, Northeast, Verona, Wausau, and Wingra.
Everyone at these locations has access to the S:\ drive where our Shared Network Folders are located. Open "My Computer" on your desktop and you will see Share on 'Fammed5\Home' (S:\). Double-click on this and you will see a minimum of three folders: Share Public, zen, and a clinic-specific folder such as Alumni Hall or Northeast, as follows.
Everyone has access to the Share Public and zen folders on the S:\ drive. However, the zen folder is strictly for administrative use only - do not store any data files in this folder.
Throughout the Department, for example, everyone at Wausau has access to the S:\Wausau\All Clinic folder and everyone at Verona has access to the S:\Verona\All Clinic folder. If you are a nurse, you have access to the S:\YourClinicName\All Clinic folder as well as the S:\YourClinicName\Nurses folder. If you work in the lab, you have access to the S:\YourClinicName\All Clinic folder as well as the S:\YourClinicName\Lab folder. Please do not put any files containing patient Protected Health Information (PHI) in a shared folder/drive.
The next time you want to work on a document with a colleague, please put the document in a folder on the S:\ drive. If you are a Nurse at Wingra and wish to share a document with other nurses at Wingra, open the S:\Wingra\Nurses folder and place your document there. If you work at Northeast and want to share a document with someone in Alumni Hall, you can place that document in the S:\Share Public folder. Instruct your colleagues as to where you put your document(s).
Finally, you can create a new folder within the S:\YourClinicName\All Clinic folder. This folder will be usable to everyone at your clinic. If you have questions, please contact the DFM Helpdesk.
